Manage Multiple Client Campaigns Without the Chaos

The moment your agency runs three or more client campaigns at once, the risk stops being creative quality and becomes cross-wiring: the wrong brief on the wrong booking, a note meant for Client A landing in Client B's project. Kleepa gives you the structure to prevent that, but only if you impose a system on day one rather than after the first mix-up.

Give Every Client a Predictable Structure

Treat each client as its own lane. Run separate projects per client campaign so deliverables, revisions, and approvals never bleed together, and adopt a naming convention rigid enough that anyone on your team can find a campaign without asking.

A convention that holds up over time usually encodes the client, the campaign, and the month. That way when you export data later, the labels sort cleanly and reporting takes minutes instead of an afternoon of detective work.

  • Name projects consistently, for example ACME-SpringLaunch-0425.
  • Keep one brief per deliverable set so specs never get shared across clients by accident.
  • Store client-specific rules, like banned claims, in the brief itself, not in someone's head.

Keep Communication Inside the Project

Kleepa's built-in messaging is per project for a reason. When all direction to a creator lives inside that campaign's thread, you get an audit trail that answers most client disputes before they escalate. The failure mode to avoid is a producer texting a creator side notes that no one else on the team can see.

Set an internal rule that nothing directional happens outside the platform. If a client sends feedback by email, the account manager translates it into a single Kleepa message so the creator has one source of truth.

Assign Clear Ownership

Confusion multiplies when two people think they own the same approval. Decide who on your team holds the approval button for each client, because on Kleepa approval releases escrow payment and should not be an accident.

  • Name one approver per client to avoid double-releasing payment.
  • Have that approver check the deliverable against the brief before releasing escrow.
  • Route client sign-off to your approver, then let them action it in Kleepa.

Use Insights to Spot Drift Early

Review Insights across clients regularly so you catch problems while they are small. If one client's turnaround is creeping up or spend is running ahead of plan, the data shows it before the client complains. Export the relevant slice to CSV when you need to raise something with a client or reforecast internally.

Multi-client operations reward boring consistency. Fixed naming, one brief per deliverable, one approver, and all talk inside the project will carry your agency further than any clever shortcut, and they keep every client feeling like the only one you have.
